Choosing AI Office Tools: WPS AI, Feishu, Notion AI, Copilot and DingTalk

By the end of this article you can choose an AI office suite with four questions instead of an advertising budget.

1. No Best Tool, Only a Best Fit

Nearly every vendor now ships an AI layer inside its office products, and their strengths differ sharply: some for document layout, some for meeting notes, some for the collaboration workflow of a whole company. One scorecard that ranks them tells you little, because you will use one or two scenarios only.

So there is no ranking here, only who each product fits. Prices and licences vary by region, seats and contract, so check the official page before buying.

2. Four Questions Before Any Website

  • Writing, calculating, meeting or searching? Drafting, spreadsheets, minutes and internal search are four capabilities, and few tools lead in all four.
  • How strict is file compatibility? If someone else must open the file, a tool that breaks layout on export costs you time every week.
  • What does your team use? Half an office tool's value is collaboration; a lone account elsewhere eats the gain.
  • Can data leave the building? Training opt-outs, private deployment and compliance rules set most shortlists.

3. WPS AI: Strongest on Chinese Documents and Spreadsheets

WPS AI sits inside the word processor, spreadsheet and presentation apps, so nothing changes about how files open: the assistant waits in a side panel. It handles Chinese document layout, report templates, slides, natural-language formulas and charts, and question answering over PDFs, with good local format compatibility.

It fits people who write reports and wrestle with spreadsheets daily. It fits less well when you need cross-department retrieval, or email and calendar in the same context.

4. Microsoft 365 Copilot: Tied to Office and to Existing Licences

Copilot's advantage is location: it lives inside Word, Excel, PowerPoint, Outlook and Teams, which share one context. The enterprise value is the permission model, since it only reaches content the signed-in user may read, which matters in a compliance review.

The prerequisite is a Microsoft 365 licence, usually per seat and decided by IT. Buying that stack just to draft a weekly update rarely pays off for one person.

5. Feishu and DingTalk: Collaboration Versus Process

Feishu bundles documents, tables, chat, calendar and meetings. Its AI is strongest in minutes and knowledge search: when a call ends, transcript and summary sit in a document, and action items become tasks. It overwhelms anyone who only wants a writing tool.

DingTalk centres on approvals, attendance and the org chart, and its assistant leans toward transactions. Companies choose it because they already run on it. For the notes workflow, see from recording to action items.

6. Notion AI: Great Knowledge Base, Weak on Chinese Formats

Notion AI is strong at structured writing and database questions: with project notes in one workspace, ask which clients raised a request last quarter and let it follow the relations. Teams that treat documentation as a product do well.

The weakness is clear: Chinese official document conventions and local report templates fit poorly, and layout needs manual work. If the main output is a formal report, look elsewhere first.

7. Specialist Tools: Let Transcription Be Done by Specialists

If minutes consume your week, a general suite may not be the answer. Dedicated transcription services are stronger at speaker separation, domain terms and bilingual output, and handle long recordings better. They do not write documents; they turn audio into text that a document tool then shapes.

8. Three Combinations, and How to Trial

Individual, writing-heavy: WPS AI or any capable assistant, at low cost. For the method, see writing reports with AI.

Team collaboration: Feishu or DingTalk as the base, plus a transcription tool if meetings are frequent, and built-in AI for drafting.

Compliance first: Copilot or a private deployment, cleared by IT and legal before anyone discusses features.

Never choose from a demo. Run a document you wrote last week, a real sheet and a real recording through the trial; demo data is clean, yours is not. Filter more by scenario in the tool directory. As of November 2026, features and licensing change often, so confirm on the official site.
